Platform Overview

Vraxelqith.AI Dashboard

One simple view of operational health, risk and required action.

The Dashboard combines the most important information from every module. It shows where orders may be delayed, where stock or supplier issues need attention, which documents are incomplete and which financial differences remain unresolved. Teams can open the source transaction, assign the next action and track the issue until it is closed.

Every step of an order,
connected in one platform.

Each module manages one part of the workflow while sharing the same customers, products, documents, approvals and audit history.

Intake & Quotes dashboard
Workflow module

Intake & Quotes

Turn every customer request into a complete, approved quotation.

Intake & Quotes collects inquiries, BOQs, drawings and purchase requirements in one place. It structures product and quantity lines, checks specifications, units, prices and margins, and highlights missing or conflicting information. Your team reviews substitutions, discounts and credit exceptions before sending a controlled quotation with a full revision history.

See it in your workflow ↗
Orders & Availability dashboard
Workflow module

Orders & Availability

Confirm what can be supplied before making a delivery promise.

Orders & Availability converts approved quotations and customer purchase orders into authorized sales orders. It checks products, prices, quantities, credit terms and stock that is genuinely available to promise. The module reserves eligible stock, exposes shortages and supports approved partial deliveries, backorders and split commitments without allowing the same stock to be promised twice.

Procurement & Receiving dashboard
Workflow module

Procurement & Receiving

Buy, receive and inspect goods before they become available stock.

Procurement & Receiving manages supplier purchasing from request and approval through delivery and invoice matching. Receiving teams compare the purchase order with what physically arrived and record accepted, damaged, rejected, held and missing quantities. Only approved goods are released into available stock, while shortages, damage and supplier claims remain visible until resolved.

See it in your workflow ↗
Pick, Pack & Dispatch dashboard
Workflow module

Pick, Pack & Dispatch

Move the correct goods from reservation to an authorized dispatch.

Pick, Pack & Dispatch gives warehouse and branch teams a controlled process for picking, checking, packing, labelling and staging each order. Staff verify the SKU, quantity, location and any serial or lot information before loading. Short picks, damage and substitutions become reviewable exceptions, and dispatch is released only after the required checks are complete.

Delivery & Invoicing dashboard
Workflow module

Delivery & Invoicing

Connect customer delivery evidence with accurate billing and collections.

Delivery & Invoicing manages delivery assignments, movement documents, customer handover and proof of delivery. It records what the customer accepted, rejected, received damaged or received short and compares that result with the dispatch. Invoices and receivables are created from verified quantities, while missing evidence, disputes and overdue accounts stay linked to the original order.

See it in your workflow ↗
Returns & Reconciliation dashboard
Workflow module

Returns & Reconciliation

Resolve returned goods and close every stock and payment difference.

Returns & Reconciliation connects each return to the original sale, warranty and delivery evidence. Teams inspect the item, keep it out of sellable stock and approve the correct refund, replacement, repair, credit or supplier claim. The same module matches invoices, receipts, credits, payments and stock adjustments so unresolved differences always have an owner and a clear next action.

A multi-site retail and trade operation

From customer requirement
to reconciled closeout.

01

Capture and approve the requirement

Bring inquiries, BOQs, drawings, catalogue evidence and customer purchase requirements into Intake & Quotes. Vraxelqith.AI structures the lines and flags ambiguity; your team verifies specifications, price, margin and substitutions before issue.

02

Authorize the order and its supply

Orders & Availability checks the accepted commercial terms, credit and eligible stock. Reservations, shortages, backorders and procurement requirements become explicit commitments instead of hidden spreadsheet decisions.

03

Receive, verify and dispatch

Procurement & Receiving controls physical receipt and stock release. Pick, Pack & Dispatch guides scans, counts, serial or lot capture, packing, staging and loading checks before an authorized dispatch leaves the site.

04

Close the delivery and financial loop

Delivery & Invoicing links customer acceptance to billing and receivables. Returns & Reconciliation preserves inspection evidence, credits, payment differences and closeout actions, with human approval for every consequential decision.

Traceable operations start
with controlled foundations.

Relevant standards to consider when connecting identifiers, payment systems and operational records. Requirements depend on your implementation.

PCI DSS

PCI DSS — Payment Security Considerations

Vraxelqith.AI can connect with authorized payment providers to support payment reconciliation, controlled access and transaction traceability. PCI DSS applicability depends on the customer's payment environment and integration architecture. The platform does not claim to provide PCI DSS certification or guarantee compliance.

GS1

GS1 — Product and Logistics Identification

Vraxelqith.AI can support GS1-based product and logistics identifiers for catalogue matching, receiving, inventory verification and dispatch. Supported validation and mapping rules help teams identify discrepancies between recorded and scanned goods. These capabilities do not constitute GS1 certification or guarantee complete standards compliance.

Note: These are standards the platform is built to support inside your workflows — obligations that fall on you as the licensee. They are not certifications held by us, and support in the product is not a substitute for your own counsel or compliance officer.

Add-ons

Add the hardware your workflow needs.

Choose compatible third-party equipment only where a documented API, SDK, network protocol or device connector can feed an existing Vraxelqith.AI workflow. Each device below has a defined operational destination and keeps consequential approvals with your team.

01

Networked RFID reader & dock portal

A third-party EPC Gen2 reader connects through its vendor SDK or device gateway. Tag events are matched to purchase-order and goods-receipt lines in Procurement & Receiving, where accepted, damaged, rejected and missing quantities remain separate before eligible stock is released.

FEEDSProcurement & Receiving
02

Rugged barcode & 2D imager

A Bluetooth HID, USB or vendor-SDK scanner sends GTIN, serial, lot and location codes into the active warehouse session. Pick, Pack & Dispatch checks each scan against the authorized pick line, flags SKU or quantity mismatches, and records verified items before packing and release.

FEEDSPick, Pack & Dispatch
03

Rugged mobile delivery terminal

A managed Android or iOS terminal uses the Vraxelqith.AI web app or supported mobile SDK to receive assigned stops, scan dispatch references and capture timestamps, signatures and delivery photos. Delivery & Invoicing links that evidence to accepted, rejected, damaged or short quantities before invoice validation.

FEEDSDelivery & Invoicing
04

Network document scanner

A third-party scanner sends PDFs or images through a watched folder, email gateway or documented capture API. Intake & Quotes extracts lines from inquiries, BOQs and purchase requirements, preserves the original file, and routes uncertain specifications and revisions to a person for verification.

What will Vraxelqith.AI actually cost us?

Vraxelqith.AI is designed for retail, wholesale and trade businesses with different operating needs—from individual branches to multi-location distribution operations.

Your subscription requirements will depend on the modules, number of users, branches and integrations your business needs.

Before you subscribe, we'll help define your requirements so you can understand the proposed software cost and any additional implementation expenses.

Pricing note: Subscription rates, billing terms and included features must be confirmed in your commercial quotation.

Is there a setup or onboarding fee?

Setup requirements depend on how your business currently manages products, inventory, orders and customer records.

A business starting with quotation and order management may require less preparation than a distributor connecting multiple warehouses, accounting systems and supplier records.

Any applicable onboarding, data migration, integration or training charges should be identified before you approve your subscription.

Our goal is to give you visibility into the full proposed cost before implementation begins.

Will integrations or warehouse hardware cost extra?

If your business uses accounting software, barcode scanners, inventory systems or payment providers, integration requirements will need to be reviewed.

Existing hardware and systems may be reusable where compatible. Some integrations may require additional development, third-party subscriptions or equipment.

These costs should be assessed separately and included in the commercial proposal before purchase.

Can AI approve orders, release stock or post financial changes?

No. AI recommendations do not automatically replace your approval controls.

Vraxelqith.AI is designed to help employees identify errors and review business transactions before taking action.

For example, AI can flag a stock shortage, identify damaged supplier goods or detect a mismatch between delivered quantities and an invoice.

Your authorized employees remain responsible for approving quotations, releasing inventory, authorizing dispatch, and confirming financial adjustments according to their permissions.

What happens if our operational data is fragmented?

Many retail and wholesale businesses manage information across spreadsheets, purchase orders, warehouse records, supplier documents and accounting systems.

Vraxelqith.AI is designed to connect these records into a more consistent operational process.

It can help teams compare customer orders with stock availability, supplier deliveries with purchase orders, and invoices with delivery confirmations.

However, incomplete or incorrect source data still requires review. The platform cannot automatically recover information that was never recorded.

Do we have to move all our business data into your cloud?

The data required depends on your selected modules and the deployment and integration arrangements available.

For example, stock allocation needs reliable inventory information, while reconciliation needs invoice and payment references.

Before implementation, the required data, storage arrangements, access permissions and integration approach should be agreed upon.

Deployment options, data residency and external system connectivity must be confirmed before subscription.

What business problem should we expect Vraxelqith.AI to solve first?

Start with the operational problem that creates the most frequent delays, rework or financial discrepancies.

If your sales team regularly promises products that are unavailable, start with Orders & Availability.

If supplier deliveries arrive short or damaged, focus on Procurement & Receiving.

If invoices don't match what customers actually received, focus on Delivery & Invoicing and Returns & Reconciliation.

Vraxelqith.AI is designed to make these discrepancies easier to detect, investigate and resolve using connected transaction records.

How is Vraxelqith.AI different from separate AI tools?

A standalone AI tool might help extract data from a purchase order or summarize an invoice.

Vraxelqith.AI is designed around the complete trading operation.

A verified customer quotation can become a sales order. The order connects to inventory reservations, supplier purchasing, warehouse picking, dispatch, delivery confirmation and financial reconciliation.

AI checks operate within those business records rather than as disconnected conversations.

The difference is connected operational control—not just AI-generated answers.

Where should we start if we don't want to change everything at once?

You can plan implementation around one operational priority instead of attempting a complete business transformation immediately.

For example, a wholesale distributor could begin with quotations, sales orders and stock availability before expanding into procurement, dispatch and reconciliation.

A business experiencing frequent supplier discrepancies could prioritize purchasing and goods receiving.

The starting scope should be selected after reviewing your existing processes, data requirements and dependencies between modules.

This allows you to evaluate practical results before expanding the implementation.

What help do we get before going live?

A successful implementation starts with understanding how your business already operates.

Your onboarding plan should cover the selected modules, product and inventory information, user permissions, required integrations, data validation and employee training.

Before go-live, important transactions should be tested using realistic business examples—including shortages, partial deliveries, damaged goods and invoice differences.

The exact onboarding services, support channels, responsibilities and timelines should be agreed upon in your subscription or implementation proposal.

The objective is to begin operating with verified records and clear responsibilities, not simply activate software.
