Real estate cybersecurity

Real Estate Cybersecurity
Expertise for Your Team

Protect client and tenant information, property platforms, and closing funds. Keep access to portals, buildings, and payment changes aligned with the people who should have it, and prepare property operations for disruption with practical security engineering and clear accountability.

A real estate business connects more than an office.

Listings, offers, closing funds, tenant applications, rent, maintenance, building access, investor reporting, and contractor payments may depend on different platforms, partners, and people. Agents join and leave, tenants move in and out, contractors hold keys and codes, and large sums move on a date everyone can see.

Nestack helps your team understand the exposures within those connections and turn findings into manageable improvements. Start with one platform, payment process, access question, or recovery concern, or discuss a dedicated engineer who works alongside your existing IT, operations, and compliance teams.

Three ways to work with Nestack

  1. 01

    Scoped security assessment

Examine a defined system, workflow, or property environment and receive prioritised findings, evidence, and recommended next steps.

  2. 02

    Dedicated security engineer

Add engineering capacity with an agreed skill profile, working schedule, reporting line, and backlog.

  3. 03

    Ongoing security improvement

Coordinate approved changes, access reviews, retesting, exercises, and updates to security evidence.

Technical security supports your organisation's privacy, financial-control, and property-management processes. Your licensed professionals and responsible managers retain those decisions.

02Who we help

Security support for different real estate businesses

Scope reflects your properties, platforms, operating model, and responsibilities. A residential brokerage, a housing provider, a commercial landlord, and a software company need different controls and delivery arrangements.

  • An agent with a folder showing a young couple around an empty apartment with tall windows

Protect client records, listing and transaction platforms, agent mailboxes, showing and lockbox arrangements, and the communications around offers, deposits, and closing or completion funds.

  • A woman holding up a set of keys to a smiling man outside a brick building, a tablet in her other hand

Review resident and owner portals, rent and deposit payments, tenant-screening data, keys and access codes, maintenance contractors, and the building systems behind each property.

  • A site engineer in a hard hat reviewing plans and a laptop on a table at a concrete-frame building site, a tower crane overhead

Assess contractor and supplier payment workflows, project and design repositories, investor portals, and the building systems and vendor access handed over at completion or acquired with a portfolio.

  • A man working on a laptop at a shared table in a bright office

Assess customer and property separation, application permissions, partner integrations, cloud environments, and the evidence brokerages and landlords need during procurement.

03Real estate security risk assessment

Connect security priorities to the transactions and properties you must protect

An assessment should explain how a weakness could affect client funds, tenant information, building access, or essential operations.

We review selected systems, dependencies, and workflows to create an actionable improvement plan with your team.

What we cover

  1. 01

    Systems and ownership

Listing, transaction, property management, payment, access-control and collaboration platforms, and their critical dependencies.

  2. 02

    Information flows

How client, tenant, owner, investor and contractor information, including identity documents and bank details, is shared and retained.

  3. 03

    Payment and instruction paths

How closing funds, rent, deposits, landlord disbursements and supplier invoices are instructed, changed and verified.

  4. 04

    Access and exposure

Privileged accounts, external connections, agent and contractor access, unsupported systems and security configurations.

  5. 05

    Property and operational priorities

The services needed for closings, rent collection, resident support, building access and portfolio reporting.

  6. 06

    Improvement planning

Findings ranked by likely impact and exposure, with owners and a practical sequence of remediation.

Possible consequence:Exposure of another household's lease and ledger

Proposed action:Correct unit-level authorisation

Completion evidence:Synthetic-account retest

Owner to agree:Platform owner

03Integrator support login still enabled on the building management system

Possible consequence:Uncontrolled remote path into the building network

Proposed action:Introduce approved, time-limited vendor access

Completion evidence:Access configuration and session evidence

Owner to agree:Facilities + IT

04Bank-detail change accepted by email alone

Possible consequence:Rent or closing funds diverted

Proposed action:Independent callback before any change

Completion evidence:Documented verification records

Owner to agree:Finance + operations

05Leasing assistant retrieves other applicants' files

Possible consequence:Screening information disclosed to wrong users

Proposed action:Preserve source permissions in retrieval

Completion evidence:Role-based evaluation evidence

Owner to agree:AI owner + security

04Portal, transaction-platform, and API security

Check that records and actions stay within their intended boundaries

Resident portals, owner portals, transaction platforms and listing feeds connect clients, tenants, agents, partners and external tools. We test selected controls and integrations for places users could reach information or functions outside their role.

05Identity, agent, and contractor access security

Keep access aligned with each person's role and relationship

Agents move between brokerages, tenants arrive and leave, contractors hold keys and codes, and building vendors keep remote access long after handover. We help manage these changes without slowing showings, move-ins or maintenance.

06Cloud, office, and smart-building security

Strengthen the environments behind transactions and buildings

07Email, closing-fund, and payment-change controls

Make trusted communication harder to misuse

Offer updates, closing instructions, rent reminders, landlord bank changes, deposit requests, and contractor invoices create opportunities for impersonation. We help strengthen technical protections and the verification processes used for any change to where money goes.

Domain authentication does not stop all lookalike domains, a compromised counterparty, or misuse of a genuinely compromised account, so independent verification matters as much as email configuration.

What we cover

  • 01

    Domain and email controls

Sender authentication and anti-spoofing, staged for legitimate mail, including agent and franchise domains.

  • 02

    Account compromise indicators

Forwarding rules, delegated access, recovery methods and connected apps on transaction mailboxes.

  • 03

    Payment-instruction changes

Independent verification for closing or completion funds, rent, deposits, disbursements and supplier details.

  • 04

    Listing and application integrity

How listings, contact details and application links can be copied or altered, and how applicants are told to pay.

  • 05

    Role-specific awareness

Agreed exercises and guidance for agents, transaction coordinators, leasing, finance and service desks.

  • 06

    Response coordination

Contacts and steps for suspected impersonation or diverted funds, including banks and law enforcement.

08Ransomware readiness and property-operations continuity

Prepare to restore the services your clients and residents need first

09Tenant, client, and investor data and supplier assurance

Understand who can access sensitive information and why

Real estate records can include identity documents, screening results, income evidence, bank details, access codes, camera footage and investor financial information. We examine the controls around them and the suppliers that handle them.

  • 01Information inventoryData categories, locations, owners, sharing paths and external processors across your platforms.
  • 02Sensitive-record accessPermissions around identity documents, screening reports, bank details, access codes and investor records.
  • 03Retention and exitApproved retention, deletion, exports and contract exit, including copies held by agents and contractors.
  • 04Platform and processor evidenceSecurity documentation, sub-processors and incident contacts for property, payment and screening suppliers.
  • 05Contractor and physical accessHow vendors with keys, codes, camera access or building logins are vetted, logged and removed.
  • 06Assurance supportAn evidence register and technical input to privacy reviews and lender and client questionnaires.

10 · AI leasing assistant, listing, and automation security

Keep property AI within its approved access and actions

AI tools may answer prospect questions, schedule viewings, draft listing descriptions, extract lease terms, chase arrears, or connect to property management and access-control systems. We assess selected workflows to identify unnecessary data exposure and actions that should require an authorised person.

Technical testing does not establish fair-housing compliance, the accuracy of valuations, the suitability of screening outcomes, or complete prevention of harmful outputs.

What we cover

  1. 01

    Approved data use

Connected records, and access, retention, logging and provider settings for the use case.

  2. 02

    Retrieval boundaries

Separation between prospects, residents, units, owners and staff-only pricing and screening material.

  3. 03

    Untrusted instructions

Whether listing text, maintenance requests or uploaded documents can redirect the assistant.

  4. 04

    Tool permissions

Accounts, API scopes and functions, including messaging, payment, lease and door-unlock capabilities.

  5. 05

    Human approval

Gates before changing lease or payment terms, issuing access credentials, sending offers or exporting data.

  6. 06

    Change and failure testing

Agreed tests repeated after changes, with escalation, disablement and rollback documented.

12Frequently asked questions

Frequently asked questions

Showing 19 of 19 questions

  1. The proposed service covers brokerages and agents, property managers and landlords, developers and investors, and property technology companies. The scope and engineering profile depend on the environment and the work required.

  2. Yes. A defined portal, payment-verification, access, building-system, recovery, or AI review provides a practical starting point. Agree systems, responsibilities, permissions, and deliverables before work begins.

  3. Discuss a role with an agreed skill profile, working schedule, reporting line, and backlog. Confirm availability and specialist escalation during scoping rather than assuming every security function sits with one person.

  4. The service can complement internal IT, managed providers, and platform vendors. Establish who administers systems, approves changes, handles alerts, restores services, and contacts vendors so responsibilities are clear.

  5. We first confirm the product, hosting model, licences, available controls, and provider permissions. Customer configuration, integration testing, self-hosted software review, and a vendor's underlying shared platform are different scopes.

  6. An agreed review can cover feed credentials, scopes, partner API permissions, webhook verification, and removal of unused connections. Listing data is normally licensed by the listing service, so testing stays within the licence terms and never involves bulk copying.

  7. We can strengthen email controls and help document independent verification for any change to payment instructions, then test that the process is followed. No control eliminates fraud; disbursement decisions and fund recovery remain with the licensed parties, banks, and law enforcement.

  8. Use agreed test windows, non-production systems, synthetic accounts, and stop conditions wherever possible. Live transactions, real funds, resident communications, and building access are excluded from ordinary testing unless separately scoped and expressly authorised.

  9. Selected controllers, access-control platforms, and camera systems can be reviewed for exposure, credentials, vendor access, and network boundaries. Lifts, fire, and other life-safety systems are excluded from active testing, and physical inspection or integrator coordination may need separate arrangements.

  10. Not automatically. Define alert coverage, response expectations, out-of-hours support, and specialist incident-response arrangements in the engagement scope.

  11. Many activities can begin with configuration evidence, synthetic test records, and limited or redacted exports. Production access should be justified, approved, and restricted to what the agreed task requires.

  12. Agree named personnel, authorised access locations, customer environments, permissions, logging, and data-handling rules with your team. Keeping data in your cloud does not alone resolve cross-border access requirements. Local and onsite work needs a separate arrangement.

  13. No such blanket certification is part of this offer. We support scoped technical controls and evidence. Which rules apply depends on your activities, markets, and licences; your responsible advisers determine the legal requirements and any formal assessment route.

  14. Security controls can protect how screening information is stored, shared, and disposed of, but screening, tenancy, and fair-housing decisions remain with your organisation and its advisers. Agree the technical scope separately from those obligations.

  15. An agreed technical review can examine connected data, permissions, retrieval boundaries, untrusted instructions, and agent actions. Valuation accuracy, fairness, and suitability of automated decisions require separate evaluations.

  16. We can examine available technical evidence, data flows, access, supplier dependencies, and unresolved risks. We cannot guarantee an external vendor's controls or replace your procurement, privacy, and legal decisions.

  17. Agreed outputs may include prioritised findings, owner-assigned actions, change records, retest results, exercise reports, and concise progress summaries. Define both the technical evidence and management reporting at the start.

  18. They depend on the systems, permissions, testing depth, coverage, and specialist needs. Agree milestones after scoping and account for closing dates, rent cycles, vendor response times, and access dependencies.

  19. Share your organisation type, approximate portfolio and platforms, principal concern, and preferred engagement. Do not send tenant files, identity documents, bank details, passwords, access codes, or live incident evidence through the public enquiry form.
