
BuildTrack Pro is a purpose-built platform for custom home builders that replaces the usual fragmentation of scope sheets, spreadsheets, email approvals, and disconnected schedules with one controlled workflow. Each project starts from a template-driven WBS, then moves through estimating, budget creation, commitments, change orders and client-facing communication with clear state validation at every stage. Approved estimates become the financial baseline, commitments roll directly against locked budget lines, and change orders cannot be executed until the client has approved them.
AI is used where it creates practical value: summarizing site updates into polished client recaps, sanity-checking estimates for missing divisions, translating technical construction language into client-friendly change summaries, and generating concept visuals that help homeowners understand selections before work begins. The result is a platform built not just to track a project, but to actively prevent budget surprises, missing scope, and delayed decision
Project Estimation

Administrators launch each job from a project template such as a 2-Story Custom, instantly creating default WBS phases, tasks, and dependencies for prep, foundation, framing, finishes, and handover. The Project Manager then adjusts durations, sequences work, and baselines the schedule so the team begins with a controlled execution plan instead of a blank spreadsheet. Estimators build the financial foundation using assemblies, line items, allowances, and cost codes inside a structured estimate grid. Before submission, AI reviews the estimate for missing scope and common division gaps, helping catch omissions before they become expensive field issues. Once the Admin approves the estimate, it becomes read-only and serves as the baseline candidate for budget generation and downstream cost control.
Commitments & Change Orders

After estimate approval, the Project Manager generates locked budget lines from the approved estimate so the team can move from pricing to execution without losing structure. As subcontractors are engaged, commitments are attached directly to the relevant budget lines, allowing BuildTrack Pro to maintain live budget-versus-contracted variance and highlight overruns early rather than after invoices arrive. For scope adds or deductions, the Change Order workflow enforces discipline.
The PM records both cost impact and schedule impact, AI rewrites the update into a clear client-facing summary, and the item is sent to the client portal for approval. Only approved change orders can be executed, at which point the platform automatically updates the budget and schedule. On the client side, homeowners can review selections, view AI-generated concept renders, and receive polished weekly progress updates built
from superintendent notes and site photos.
